These Terms and Conditions ("Terms") govern all bookings, services, and transactions between VOYIZ TOUR AND TRAVELS PRIVATE LIMITED ("the Company", "we", "us", "our") and any person or entity ("Client", "Customer", "you") availing of tour, travel, or related services offered by the Company. By making a booking, paying a deposit, or using any service of the Company, the Client agrees to be bound by these Terms.

1. Definitions and Interpretation

Company

Refers to VOYIZ TOUR AND TRAVELS PRIVATE LIMITED, its employees, agents, and authorised representatives.

Client / Customer

Refers to the person(s) named on the booking form and any person(s) on whose behalf a booking is made.

Booking

Any tour package, ticket, hotel reservation, transport arrangement, visa assistance, or ancillary service arranged through the Company.

Third-Party Service Provider

Airlines, hotels, cruise operators, transport companies, local guides, and other independent suppliers whose services form part of a package.

2. Booking and Confirmation

Booking Process

A booking is considered provisional until the Company issues a written confirmation (email or invoice) and receives the applicable advance payment.

Accuracy of Information

The Client is responsible for ensuring that names, dates, passport details, and contact information provided at the time of booking are accurate and match official travel documents. The Company is not liable for losses arising from incorrect information supplied by the Client.

Minimum Age

Bookings may only be made by persons aged 18 years or above. Minors must be accompanied by a parent or legal guardian.

3. Payment Terms

Advance Payment

A non-refundable advance/deposit (as specified in the invoice) is required at the time of booking to secure reservations.

Balance Payment

The balance amount must be paid within the timeline specified in the invoice, and in any event no later than the due date communicated prior to departure. Failure to pay on time may result in automatic cancellation of the booking.

Mode of Payment

Payments may be made via bank transfer, UPI, credit/debit card, or other modes accepted by the Company. Bank charges, if any, are to be borne by the Client.

Taxes

All applicable taxes, including GST, TCS, and other statutory levies, are payable by the Client in addition to the quoted package cost, unless explicitly stated as inclusive.

Currency Fluctuation and Price Revision

The Company reserves the right to revise prices before final confirmation in the event of currency fluctuation, fuel surcharge, or a change in government taxes/levies.

4. Cancellation and Refund Policy

Cancellations must be communicated in writing (email) by the Client. The following slab-wise cancellation charges shall apply on the total package cost unless otherwise specified in the specific tour invoice:

      45 days or more before departure: Loss of advance/deposit amount only

      30–44 days before departure: 25% of total package cost

      15–29 days before departure: 50% of total package cost

      7–14 days before departure: 75% of total package cost

      Less than 7 days before departure / No-show: 100% of total package cost (no refund)

Certain components such as flight tickets, visa fees, train reservations, and special event/festival bookings may carry their own non-refundable or separate cancellation terms as imposed by the respective third-party supplier, and these will apply over and above the above slabs.

Refund Processing

Approved refunds, where applicable, will be processed within 15–21 working days from the date of written cancellation confirmation, subject to realisation of funds from third-party suppliers.

Cancellation by the Company

The Company reserves the right to cancel any tour due to insufficient participation, force majeure, or unforeseen circumstances, in which case the Client shall be offered an alternative date/package or a full refund of amounts paid to the Company (excluding non-recoverable third-party costs already incurred).

5. Amendment and Rescheduling

Client-Initiated Changes

Requests for date changes, name changes, or itinerary modifications are subject to availability and may attract amendment fees charged by the Company and/or third-party suppliers (airlines, hotels, etc.).

Non-Guaranteed Availability

The Company will make reasonable efforts to accommodate change requests but does not guarantee availability at the original price.

6. Travel Documents, Visa, and Immigration

Client's Responsibility

It is the sole responsibility of the Client to hold a valid passport (with minimum validity as required by the destination country), visa, and any other travel documents (e.g., vaccination certificates, e-permits) required for the trip.

Visa Assistance

Where the Company assists with visa applications, this is a facilitation service only. The Company does not guarantee visa approval, as this rests solely with the concerned embassy/consulate/immigration authority. Visa fees, once paid, are non-refundable regardless of outcome.

Denial of Entry/Boarding

The Company is not liable for any loss, cost, or delay arising from denial of visa, boarding, or entry by immigration/airline authorities.

7. Package Inclusions and Exclusions

Unless otherwise specified in writing, tour packages exclude: airfare/train fare (unless explicitly included), travel insurance, personal expenses, tips/gratuities, expenses arising from flight delays/cancellations, laundry, telephone charges, and any meals or sightseeing not expressly mentioned in the itinerary. The Company will provide a written itinerary specifying exact inclusions for each package.

8. Liability and Disclaimer

Role as Facilitator

The Company acts as a booking agent/facilitator between the Client and Third-Party Service Providers (airlines, hotels, transport operators, local vendors). Services actually rendered (e.g., quality of hotel stay, flight punctuality, condition of transport) are the responsibility of the respective Third-Party Service Provider.

Limitation of Liability

The Company shall not be liable for any injury, illness, death, loss, delay, damage, or additional expense arising out of acts or omissions of Third-Party Service Providers, or due to circumstances beyond the Company's reasonable control, including but not limited to force majeure events.

Maximum Liability

In no event shall the Company's aggregate liability to the Client exceed the total amount paid by the Client to the Company for the specific booking in question.

Personal Belongings

The Company is not responsible for loss, theft, or damage to personal belongings, baggage, or valuables during the course of travel.

9. Force Majeure

The Company shall not be held responsible for any failure or delay in performance of its obligations arising from causes beyond its reasonable control, including but not limited to natural disasters, epidemics/pandemics, war, terrorism, riots, strikes, government orders/travel bans, flight cancellations, or airport/border closures. In such events, the Company will assist the Client in rescheduling or claiming refunds from third-party suppliers to the extent possible, but any additional costs arising from such events shall be borne by the Client.

10. Travel Insurance and Health

Recommendation

The Company strongly recommends that all Clients purchase comprehensive travel insurance covering medical emergencies, trip cancellation, baggage loss, and evacuation prior to departure.

Medical Fitness

The Client confirms that they are medically fit to undertake the proposed travel and must disclose any pre-existing medical conditions, dietary restrictions, or mobility requirements at the time of booking.

11. Client Conduct

The Company reserves the right to refuse service to, or remove from a tour, any Client whose conduct is deemed disruptive, illegal, or likely to cause danger, distress, or annoyance to other travellers, guides, or staff, without any obligation to refund the cost of unused services.

12. Complaints and Grievance Redressal

Any complaint regarding services rendered must be raised in writing with the Company within 7 days of the completion of the tour. The Company will make reasonable efforts to investigate and respond within 15 working days. Complaints raised after this period may not be entertained.

13. Intellectual Property

All content, including brochures, itineraries, website material, logos, and marketing collateral of VOYIZ TOUR AND TRAVELS PRIVATE LIMITED, are the intellectual property of the Company and may not be reproduced, copied, or used without prior written consent.

14. Privacy and Data Use

Personal information collected during the booking process (identity documents, contact details, payment information) will be used solely for the purpose of processing bookings, visa applications, and providing travel-related services, and will be shared with third-party suppliers only to the extent necessary to fulfil the booking.

15. Amendment of Terms

The Company reserves the right to amend, update, or modify these Terms and Conditions at any time without prior notice. The version of the Terms applicable to a booking shall be the one in effect at the time the booking was confirmed.

16. Severability

If any provision of these Terms is found to be invalid or unenforceable under applicable law, the remaining provisions shall continue in full force and effect.

17. Governing Law and Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with these Terms or any booking shall be subject to the exclusive jurisdiction of the courts at New Delhi, India.

18. Acceptance

By confirming a booking (through payment of deposit, signed booking form, or written acceptance via email), the Client acknowledges having read, understood, and agreed to be bound by these Terms and Conditions in full.
